Separate the three situations

A statement such as 'weather dependent' does not answer all three. Ask for examples covering cancellation before leaving Delhi and disruption after the trip has started. This is a planning checklist, not legal advice or a declaration of what any particular booking entitles you to.

Find out who decides and when you will hear

Ask for the actual operating company's name and the contact responsible for updates. If you book through an intermediary, establish who collects payment, who issues the booking confirmation and who handles a change request. The person answering a sales message may not be the person who can authorize a revised plan.

Agree how notices reach each traveller, especially solo joiners who are not part of a friends' group chat. Ask when the departure will be reviewed and what happens if a warning arrives after that review. An early 'confirmed departure' message should not be confused with a promise that conditions cannot change.

Ask how each payment would be handled

Request the terms that apply to your dates, payment stage and room arrangement before sending a deposit. If credit is offered, ask about its expiry, transferability, eligible departures and what happens if a replacement trip costs more. If a refund is offered, ask which amount, which payment route and the expected processing time. Keep these answers with the confirmation and receipt.

Do not assume all members have identical terms when they paid at different times or booked different components. Ask whether a person cancelling affects the room-sharing basis or cost for someone else. Insurance, if purchased, has its own wording and claims process; do not assume every weather-related change is covered.

Plan for an extra night or a shorter itinerary

For a shared departure, ask how optional activities are handled for people who decline a substitute. Nobody should discover only on the day that the alternative plan depends on every member paying for an extra activity.

Protect separately booked connections

Write down which components belong to the group booking and which you bought yourself: a flight to Delhi, a train home, a separate hotel night or a local transfer. Ask each supplier about its own change process. A group operator's revised schedule does not automatically change another booking.

If your return deadline is rigid, say so before choosing the trip. Allowing time between a road arrival and an onward connection makes the plan less fragile, but there is no universal buffer that guarantees a connection. Compare the cost of flexibility with the consequences of missing work or another journey.

A message you can use before booking

'Please send the written terms for this departure covering operator cancellation, my withdrawal and changes after departure. Who decides based on official updates, when will you notify us, and who pays for extra nights or replacement transport? Please also confirm the treatment of unused services, refund or credit timelines, and the company responsible for the booking.'
